Capacities Notion Import Not Working Properly

Workaround available Windows, Mac, Linux Updated October 21, 2026

Quick answer

Capacities' bulk import is desktop-only and works best with a Notion export in Markdown + CSV. Formulas, relations, rollups and URL properties often don't map cleanly, so simplify databases first, test a small subset, and stop if the mapping preview looks wrong.

Most likely fix: Use the desktop app.

Symptoms

Can't find import in the web app, imported objects get the wrong type, formulas show only values, relations flatten, or links and attachments are missing.

Why it happens

  • Trying to import in the web app (bulk import is desktop only)
  • Exported in the wrong format
  • Notion formulas export as results, not logic
  • Database names that aren't nouns don't map to object types
  • URL property has no direct equivalent

How to fix it

Try these in order — the most common fix is first.

  1. 1. Use the desktop app

    1. Install the Capacities desktop app
    2. Go to Settings > Import Content, open the Notion guide under Migration guides, and click Start importing
  2. 2. Export from Notion as Markdown + CSV

    1. Export only the pages and databases you want to keep
    2. Export related databases together
    3. Choose Markdown & CSV as the format
  3. 3. Simplify databases before export

    1. Remove unneeded properties
    2. Simplify formulas and rollups
    3. Rename databases to nouns (Book, Person, Meeting) so they map to object types
  4. 4. Review the mapping before importing

    1. Confirm recognized object types and click Analyze
    2. If mapping looks wrong, stop and restructure instead of importing
    3. Add an import marker so you can find and clean up imported objects
  5. 5. Test with a small subset and verify

    1. Import a few pages first
    2. Check titles, types, properties, internal links and attachments
    3. Keep Capacities open until the import finishes
